Student Profile Management

Overview

Student profiles are the central hub for all student-related information in MartialFlow. This comprehensive guide covers how to view, edit, and manage all aspects of a student's profile, from basic information to advanced tracking features.

Prerequisites

  • You have appropriate permissions to view/edit student information
  • Students have been added to your system
  • You understand the basic navigation of MartialFlow

Accessing Student Profiles

Finding Students

  1. From Student List

    • Navigate to Tables → Students
    • Use search bar to find specific student
    • Click on student name to open profile
  2. From Dashboard

    • Use Quick Search in header
    • Type student name and select from results
    • Click to open full profile
  3. From Class Roster

    • Go to Tables → Classes
    • Select a class and view student list
    • Click student name to open profile
  4. From Global Search

    • Press Ctrl + K or use search bar
    • Type student name
    • Select student from search results

Student Profile Overview

Profile Header

The top section displays key student information:

Student Identity

  • Full Name - First and last name
  • Student ID - Unique identifier in system
  • Current Status - Active, Trial, Inactive, or Waiting List
  • Current Belt - Visual belt indicator and rank name
  • Student Photo - Profile picture (if uploaded)

Quick Stats

  • Age - Calculated from date of birth
  • Time in School - How long they've been training
  • Current Classes - List of enrolled classes
  • Attendance Rate - Overall attendance percentage

Quick Actions

  • Edit Profile - Modify student information
  • Add Note - Record instructor observations
  • Add Award - Grant achievements or recognitions
  • Change Class - Modify class enrollments
  • Send Message - Communicate with family

Profile Sections

1. Basic Information Tab

Personal Details

  • Full Name - First, middle, and last name
  • Date of Birth - Used for age calculations and age-group classes
  • Gender - Important for competition categories
  • Contact Information - Email, phone, and address

Editing Personal Information

  1. Click "Edit Profile" button
  2. Modify necessary fields
  3. Verify all information is accurate
  4. Click "Save Changes"

Special Considerations

  • Name Changes - Update legal name changes promptly
  • Contact Updates - Ensure communication delivery
  • Age Verification - Important for insurance and competition eligibility

2. Family & Relationships Tab

Customer Account Information

  • Primary Contact - Main parent or guardian
  • Secondary Contact - Additional parent or emergency contact
  • Billing Contact - Who receives bills and payment communications
  • Emergency Contacts - Required contacts for emergencies

Family Structure

  • Siblings in School - Other family members who train
  • Family Discounts - Applied pricing adjustments
  • Household Information - Shared address and contact details

Managing Family Relationships

  1. Adding Family Members

    • Link existing students as siblings
    • Add new family members to same customer account
    • Configure family billing and communication preferences
  2. Modifying Relationships

    • Change primary contacts
    • Update emergency contact information

3. Academic Progress Tab

Current Status

  • Current Belt Rank - Visual indicator and text description
  • Next Belt - What belt they're working toward
  • Progress Tracking - Requirements for next promotion
  • Time at Current Rank - How long they've held current belt

Belt Progression History

  • Complete Belt History - All previous ranks with dates
  • Promotion Dates - When each belt was earned
  • Testing Information - Details about belt examinations
  • Documents - Uploaded copies of certificates and achievement records

Awards and Achievements

  • Current Awards - All earned recognitions
  • Award Categories - Different types of achievements
  • Award Dates - When each award was received

Managing Academic Progress

  1. Belt Promotions

    • Click "Award Belt" button
    • Select new belt rank
    • Enter promotion date and notes
    • System automatically updates belt progression
  2. Adding Awards

    • Click "Add Award" button
    • Choose award type from school's award list
    • Enter date and any special notes
    • Award appears in student's achievement history

4. Class Enrollment Tab

Current Classes

  • Active Enrollments - Classes currently attending
  • Class Schedule - Weekly schedule display
  • Instructor Information - Primary and substitute instructors
  • Class Performance - Attendance and participation in each class

Class History

  • Previous Classes - Historical class enrollments
  • Class Changes - Record of transfers between classes
  • Reasons for Changes - Notes about why changes were made

Managing Class Enrollments

  1. Adding Classes

    • Click "Enroll in Class" button
    • Select from available classes
    • Choose start date
    • Confirm enrollment
  2. Changing Classes

    • Click "Change Class" for specific enrollment
    • Select new class from appropriate options
    • Enter reason for change
    • Confirm transfer
  3. Removing from Classes

    • Click "Remove from Class"
    • Enter reason for removal
    • Choose end date

Attendance Overview

  • Overall Attendance Rate - Percentage across all classes

Adding Notes

  1. Create New Note

    • Click "Add Note" button
    • Select note type (Progress, Behavioral, Medical, etc.)
    • Enter detailed note content
    • Choose note visibility (instructors only or include parents)
    • Save note
  2. Note Management

    • Edit existing notes if needed
    • Archive old or irrelevant notes
    • Pin important notes for visibility

7. Billing & Payments Tab

Payment Information

  • Current Balance - Outstanding amounts owed

Role-Based Access

Directors and Administrators

  • Full Profile Access - All tabs and information

Instructors

  • Teaching Information - Classes, attendance, progress
  • Limited Personal Info - Basic contact information only

Parents/Students

  • Own Student Only - Can only see their own children
